Minutes of the Meeting

Date: June 12, 2008
Attendance: Carl Birkelbach, Sally (Spiller) Barnard, Susan (Nerad) Sazama, Jack Brochmann, Bruce and Judy (Maxant) Beem, Phyllis Belokin (Mikoda), Sharon Dunn, Merle and Gail (Glenke) Denker, Lois (Stoker) Chinnock,

Attendees: Susan graciously served the attendee’s a tasty lasagna dinner in her home. Sally contributed the delicious salad, Phyllis the wonderful wine and whoever contributed the dessert – we thank you all.

Agenda:
Agenda distributed by Carl Birkelbach. Reviewed agenda and asked for any additions.

Update on Reservations:
Discussed by Phyllis. Total 126 reservations to date that have paid (see attached Update of Confirmed Reservations). Departed: 43. Bruce, Judy, Gail and Sharon volunteered to help Phyllis with tracking down some addresses and phone numbers of classmates who have not responded to date. Check with Sen to ensure the list is up to date. No other mailing will be sent. Jack indicated that a lot of reservations came in during August for the last reunion and some showed up at the door.

Tour of School:
Assistant Principal at RB was contacted concerning RB tour. Tour will start at 9:30 a.m. on Saturday, October 18th with a continental breakfast at RB High School courtesy of the school. All 1958 classmates can take self guided tours between 9:30 a.m. and 11:30 a.m. No bus to transport classmates to the school.

Budget:
$1,500.00 donation by previous 3 classmates. $100.00 donated by Linda Meyers Total income since last meeting is $11,440.00 ( see attached Budget Report). Total expenses and projected expenses since last meeting is $10,394.00. Bar will be open all evening. Short discussion of a gift to RB with funds that we left after all expenses are paid. Carl will call RB and will discuss..

Discussion:
• Number of Events:
o Welcome Reception, Friday Night: October 17, 2008
Time: 7:00 to 11:00 p.m.
• See “Memo from Marriott” on timetable, menu selections and set-up
• Table size – 8 per table
• Flowers and decoration discussed by Judy who passed around a picture of the flowers and blue star sprinkles. One flower arrangement per table and one for name tag table.
• Posters and letter sweater displays discussed
• Example of name tags reviewed. Noted that committee members should be designated in some way via the name tag.
• DJ – Allan Stockie from DeKalb will play Rock and Roll for Friday night. Discussion on contract pay (check) and (cash) for tip. DJ will need soft drinks during the evening.
• Need volunteers for Registration Desk
• Jack suggested walkie talkie’s for communication during the reunion.
• Bring your digital cameras to take pictures on Fri evening.

o Saturday Daytime: RB School Tour in the morning. No other planned activities in the afternoon. .

Cocktails: 6:00 p.m. to 7:30 p.m. Cash Bar
Dinner: 7:30 p.m.
Music: 9:00 p.m. to midnight

• 2 Tables reserved for the Committee.
• Need Volunteers for Registration Desk.
• Blue Marbles will be placed on each table with the flower arrangements.
• Photographer $450.00 will put all the pictures on his web site and allow us access to them. Carl will have pictures copied to the RB Class of 58 web site.
• DJ will play music of the 50’s, 60’s, 70’s, 80’s and 90’s. No rap please. DJ will need to be given food and drink during the evening.
• Color paper in envelope or some other color coding will be used to designate the kind of food ordered so wait staff will give attendees the correct food ordered.
• Phyllis will bring all registration forms to the Reunion so if there is any confusion the registration forms are available.
